Rates
The GIfMI Board has decided to apply a fixed index, capped at 3.5%, for the next 5 years, starting at January 1st 2025. This index may be reconsidered and lowered if the financial conditions allow. This measure should allow PI’s to make budget estimates for future funding proposals.
Funding sources
The applicable rates depend on the funding source. The total rate is determined by regulations that define the relevant fees.
Internal Academic
Research funded by UGent accounts or grants like ERC, FWO and BOF for researchers affiliated to UGent.
No VAT or institutional overhead are applied.
UZGent / Strategic Research Centres
Research funded by UZGent or Strategic Research Centres (Strategische Onderzoekscentra, SOC) as described by the Department WEWIS of the Flemish Government.
The UZGent A session type is meant for all UZGent initiated clinical studies. The UZGent B session type is for clinical studies with UZGent as partner but industry-sponsored. All prices listed on this page are for UZGent A studies. Contact us for UZGent B session prices.
UZGent and UGent have an agreement to waive institutional overhead taking effect on 1 March 2025. SOC’s with an institutional overhead agreement with UGent are exempt from institutional overhead. VAT is always applied.
External Academic
Research funded by other universities, research institutes or external grants.
VAT and institutional overhead are applied.
Industry/Commercial
Research funded by non-academic sources, such as corporations and private organizations.
VAT and institutional overhead are applied.
Seed funding
CORE GIfMI offers a seed funding program to promote the use of the GIFMI Core Facility and stimulate new MRI research. Successful applicants receive a limited number of hours free of charge.

Rate calculator
The rate calculator outlines the maximum rates for the available equipment over the next five years. Use the dropdown menu to select a year and enter the desired number of hours for that year to estimate the price. The rates for the following years are determined relative to the 2025 price, which has an index of 0.0%.

Remarks
- All rates are listed in Euro.
- All rates are defined per hour.
- External Academic and Industry/Commercial rates include institutional overhead.
- Changes in institutional overhead and/or VAT regulations will be reflected in future updates of this page.
- The researcher is responsible for purchasing disposables/consumables not included in the rate.
- MR scanner includes scanner usage, maintenance cost and a flat fee for the psychophysics lab and disposables like ear plugs, hygienic paper and disinfectant.
Bookings
The scanner and other equipment can only be booked in the Core Facility Management Software (CFMS) hosted by the UGent ICT department. More information on getting access to the CFMS and how to book can be found on the CFMS documentation site.
Booking policy
Below is the general booking policy. Contact CORE GIfMI for requests which are not compliant with the policy or need to deviate from the policy.
- Bookings can only be made after the study has been assigned a GSB Number.
- Bookings can only be made after attending the MRI Safety Training program.
- Bookings reflect the full occupation of the facility, including setup, preparation, scanning, data transfer and cleanup.
- Booking are in 30-minute increments, with a minimum booking duration of 1 hour.
- Animal studies are not permitted before 18h00, except for the weekends or with approval of the GSB.
- Bookings can be made up to 90 days in advance.Bookings can be cancelled free of charge up to 7 days before the booking.
- Cancellations are free of charge if made at least 7 days before the scheduled booking. Check the Cancellation Policy for more details.
Cancellation policy
Cancellations made within 7 days of the booking will be fully charged if the time slot cannot be reassigned to another user.
Hours
The CORE GIfMI operational team is typically available by phone during regular office hours (Monday to Friday, 8:30 AM - 5:00 PM). However, availability may be limited during holiday seasons or public holidays, so early communication is recommended. The CORE GIfMI operational team is not available during evening hours, nighttime, and weekends unless prior arrangements have been made and explicitly agreed upon.
The CORE GIfMI facility is available 24/7, ensuring flexible access for approved users.
Scanning outside of regular office hours requires an assessment of the user's experience and approval from the CORE GIfMI operational team. Please plan accordingly, as this process may take several business days.
